Choosing a new phone system is an investment not only in terms of cost but also in new ways of working together with the overall value that an effective VoIP system can bring to a company and its employees.

Who is using the phone system?

When looking at VoIP systems, it’s important that you consider what it will be used for and who will be using it. If the business experiences lots of incoming and outgoing phone calls a multi-line VoIP phone could be the best solution for you. This could be particularly important for specific departments or areas of the organisation.  This enables calls to be put on hold, while taking new ones, transferring and so on.

Single line phones can restrict use to just internal use only and again will only be suitable for specific departments.

Choose integrated PoE

If a VoIP phone has integrated PoE, an additional power supply for your phone isn’t needed.

They’re so simple to install and you just plug and play!

By reducing the use of wires and therefore clutter around a workstation, POE offers uninterrupted power and also saves you additional outlay on power units.  Coupling multiple PoE phones with a PoE switch eliminates the need for additional power outlet installation, but it’s important to note that a VoIP phone must be PoE enabled to use this technology and older VoIP phones may not always be compatible.

What VoIP phone features will my organisation benefit from?

Phone books, call transfers, conferencing and other benefits are all part of the modern VoIP system but it’s always worth checking what systems can offer these.  Teams that work remotely but need to collaborate daily will benefit from a broad range of features that a unified communications system can bring.

Some VoIP phones may not support these features, so take the time to look and evaluate to ensure you’ll be able to make the most from your new phone system.

How mobile is your workforce?

A cordless or wired desk phone are popular in most organisations, because they offer freedom to take calls whilst employees are on the move and for desk based staff who often work from home a wired phone is best.

Having pre-configured phones that are sent to you that just plug in makes the set up process simple and easy.
